Wedding Photo Booth Planning Guide

A wedding photo booth works best when it has a defined job. Decide first whether you want entertainment, printable keepsakes, one shared guest album, or all three. A free browser booth covers capture and download; printing and cloud galleries require separate workflows.

Choose the photo experience

Browser booth on one device

Guests use a tablet, phone, or laptop at a fixed station. Photobooth Free takes four countdown photos and creates a local JPEG collage. It does not upload images, synchronize devices, or provide a shared gallery.

Guests use their own phones

A QR-code gallery lets many guests upload at the same time from different locations. It captures more candid moments but is not the same fixed-booth experience. Guest Pictures is a separate option for shared uploads and galleries.

Staffed rental booth

A rental is appropriate when integrated printing, studio lighting, an attendant, or replacement hardware is essential. Confirm hours, print limits, delivery, setup, data retention, and gallery access with the supplier.

Planning timeline

Before confirming the venue setup

• Decide whether the booth needs power, internet, printing, or a backdrop.
• Ask the venue about cable routes and permitted equipment.
• Choose a location that remains accessible after dinner begins.

Two to four weeks before

• Test the exact device and browser.
• Decide who keeps downloaded files.
• Prepare a privacy notice and guest instructions.
• Select the effect, caption, and collage format.
• Plan a backup if the device or camera fails.

On the day

• Complete one full session before guests arrive.
• Open the downloaded JPEG and inspect it.
• Check power, screen timeout, light, crop, and camera permission.
• Brief the person responsible for the booth.

Pick the right location

The booth should be easy to see but outside the main traffic line. Cocktail areas and the edge of the reception room usually work better than a distant side room. Avoid speaker stacks, doorways, service routes, and rapidly changing direct sunlight.

Allow space for a group, the camera distance, and a short queue. Secure every cable and keep drinks away from the device.

Match lighting and backdrop

Use soft front light and test it with formal and dark clothing. Highly reflective backdrops can create glare. A plain fabric, flower wall, ceremony arch, or clean venue wall is often enough.

Choose a collage format

• Square 2×2: versatile digital keepsake.
• Vertical column: photo-strip feel on phones.
• Postcard (A6, about 4×6 in): landscape format for later printing.

The booth downloads JPEG files. If you plan to print them, test the printer or print service with a real exported file. The free tool does not control printer margins, color profiles, or paper handling.

Plan guest instructions

1. Choose style and format.
2. Take and approve four photos.
3. Download the collage.
4. Reset for the next group.

If a shared album is part of the plan, explain separately how the downloaded collage reaches it. Do not imply that the free booth uploads automatically.

Address privacy clearly

The free booth processes camera frames locally in the browser. Explain who owns the event device, who can see its download folder, how files will be shared, and when they will be deleted. A cloud gallery has its own privacy and consent terms.

Copy downloaded files before returning or resetting the device. Remove accidental or unwanted shots according to the couple’s plan. Share files through a private channel or protected gallery rather than a publicly searchable folder.
